I like to call listening the “silent skill,” because you can’t observe it in a person right away. It doesn’t announce itself the way a great presentation or a sharp email does. But active listening in the workplace is one of the most powerful tools any professional can develop, and the teams that practice it consistently are the ones that thrive.

In this article, we’ll break down what active listening looks like, why it matters so much at work, and how you can start building a culture of mindful listening across your team.

What are active listening skills?

Active listening is the practice of giving your full attention to the speaker, processing what they say, and responding thoughtfully. It goes beyond waiting for your turn to talk. When you listen to understand rather than just reply, you pick up on meaning, emotion, and context that you may otherwise miss.

Carl Rogers, the psychologist who helped pioneer person-centered therapy, once said that our inability to communicate is a direct result of our failure to listen effectively. That insight is decades old, but it rings truer than ever today, where rushed conversations and half-heard instructions are the norm.

Active listening skills include maintaining eye contact, asking clarifying questions, paraphrasing what the other person said, and using body language that signals engagement. Active listening vs. passive listening: What’s the difference?

• Active listening: You hear the same explanation, jot down the important dates, ask a clarifying question about one milestone, and confirm your understanding before moving on.

The difference might seem small in the moment, but over weeks and months, it compounds. Teams that default to passive listening waste time on follow-up conversations, misinterpret instructions, and create unnecessary workplace conflict. Teams that practice active listening save time, build trust, and work more efficiently together.

Why is active listening important at work?

1. Write down what you want to say before the conversation starts

Take an extra minute to prepare for your meeting, call, or one-on-one. Jot down the specific points you want to make so that when the other person is talking, you’re not mentally rehearsing your next argument. You can focus on what they’re saying instead.

This doesn’t need to be an elaborate outline. A simple bullet-point list of keywords is enough to keep you on track. It’s one of the simplest active listening tips out there, and it also ensures you come across as organized and prepared.

2. Resist the urge to interrupt

We’ve all been there. Someone is talking, and you have a brilliant point that feels urgent. But jumping in mid-sentence, however well-intentioned, reads as an interruption. It signals that your thoughts matter more than theirs, even if that’s not what you mean.

Instead, keep a notepad handy. When an idea comes up while someone else is speaking, write it down. You won’t lose the thought, and you’ll be able to share it at the right moment without cutting anyone off.

3. Jot down questions as they come up

Just like writing down your own points, noting your questions in real time keeps the conversation organized and efficient. When the speaker finishes, you’ll have a ready-made list of thoughtful follow-ups rather than a scramble to remember what you wanted to ask.

This habit also shows the other person that you were engaged enough to think critically about what they said, which is a powerful form of respect.

4. Use body language that says, “I’m listening.”

People often overlook body language as a form of communication, but in face-to-face conversations, it’s enormously important. It’s fairly easy to detect someone’s mood or level of engagement by reading their nonverbal cues.

For example, crossed arms can signal defensiveness or disinterest, even if that’s not your intention. When you’re practicing active listening, make sure your body language matches your intent: position yourself toward the speaker, maintain eye contact, and keep an open posture. These cues reinforce that you’re present and genuinely interested in what they have to say.

5. Recap and confirm what you heard

Whether you do it mentally or on paper, summarizing the key takeaways after a conversation is a game-changer. It helps you retain important information, reduces the need for follow-up questions, and creates documentation you can reference later.

A simple technique is to reflect back what you heard: “So what I’m hearing is that the deadline moved to Friday and you need my section by Wednesday, right?” That one sentence can prevent a week’s worth of miscommunication.

6. Put your devices away

This one sounds obvious, but it’s surprisingly hard to practice consistently. Your phone buzzing, your laptop open to Slack, a notification popping up on your watch: all of these pull your attention away from the person in front of you. Mindful listening requires you to eliminate distractions, even the ones that feel small.

If you’re in a virtual meeting, close the tabs you don’t need. If you’re in person, put your phone face down or in your pocket. These tiny adjustments signal to the other person that they have your full attention, and they make it easier for you to truly listen to understand rather than just hear.

How to build a culture of active listening on your team

Individual habits matter, but the real transformation happens when active listening becomes part of your team’s culture. Here are a few ways leaders can make that shift.

Start with yourself

If you’re a manager, your team is watching how you communicate. When you model active listening in meetings, one-on-ones, and casual conversations, you set the standard for everyone else. Ask thoughtful questions and resist the urge to multitask during conversations. Show your team what empathetic listening looks like in action.

Make space for every voice

Some of the best ideas on your team will come from the quietest people, but only if they feel safe enough to share. Create intentional moments in meetings for everyone to contribute. Let’s take a little lesson from one of our favorite Disney classics, the Lion King. Hakuna Matata is a Swahili phrase meaning “no worries,” which Timon and Pumbaa sing so joyously in The Lion King (it’s very catchy).

According to a Work Stress Survey, 83% of Americans are stressed out by at least one part of their job. Stress is not only unhealthy for the body, but it can also cause you to be much less productive. That’s why we should all work to decrease any work-related stress and adopt more of a “Hakuna Matata” mindset. Check out our list of 3 ways to destress at work below!

1. Make a To-Do List

If you love post-it notes as I do, then this part will be fun for you! Making a to-do list is a great way to organize your day and prioritize. Put tasks that need to be done immediately at the top of your list and work downwards from there. It helps to put a little checkbox next to each item, that way once you complete something you can check it off- it’s a very satisfying feeling!

2. Have Some Down Time

We’re not suggesting that you nap on the job, but we do recommend that you take breaks throughout the workday to clear your mind. Perhaps taking a walk would help? After you have some downtime, you’ll come back to work with a fresh mind and you’ll be more productive.

3. Stay Healthy

Diet and exercise can help reduce your stress and make you more productive at work. Eating a healthy and balanced diet along with the daily recommended exercise can help you feel energized and ready to tackle whatever tasks come your way.  Maybe even consider adding some superfoods into your diet for an extra energy boost. This energy will help you get through your work and increase your productivity. No need to spend hours staring at your work wondering what to do, hop-to-it!

Stress can really take its a toll on the body and when it gets out of control, it can have some seriously harmful effects. We don’t want this to happen to you. Get your post-it notes out, take 5 minutes to meditate, keep active,  and maybe sing some Hakuna Matata.

Clue #1 – Make sure your team is AWARE

Prepare your team in advance. Make sure that everybody is on the same page and is on board with the idea of a team building program. Last minute notice of a team building activity may increase some resistance among employees. Instead, plan your team building activity in advance with the help of the entire office. Get everyone involved in the planning process to ensure your team has an effective team building experience.

Clue #2 – Set Expectations

Strongly encourage your whole team to participate in the team building event. After all, “None of us is as smart as all of us” (Dr. Ken Blanchard). It’s true! Having the entire group involved in your team building activity is very important. It’s hard to build upon these crucial skills when you’re missing members of the team. Let your team know this. Maybe even have some incentive for attendance? The more the merrier!

Clue #3 – Find Your Niche 

Going in to a team building activity, participants must understand that not everyone can be a leader within the group. While having a leadership role within a group is important, it’s also important that other members fill out other roles. There is a spot for everyone, you just need to find your niche. You’d be surprised what impact a team bonding activity can have on the group dynamic in the office. Many of the lessons you learn from your team building experience are transferable to the office.

Clue #4 – Pick the Right Activity

Consider your team’s dynamic when choosing your team building activity. You can do a number of team building activities, but the trick is picking the best one that will be the most effective team building experience for your team in particular. Does your team like to be actively searching for clues? Or would your team rather enjoy a show over dinner?

You will want to choose a team building activity that will keep your employees engaged and having a good time. What better way to get to know your coworkers than solving mysteries together? You’ll increase communication, problem solving and decision making skills among your team and have a blast while doing it.

When you think of the typical office space, you probably think of a cubicle with a computer screen. Maybe because that’s what most offices look like, or used to. Recently, there has been a trend towards enhancing work-spaces into more open and fun working environments.

Aside from having nice scenery to look at while you get your work done, having a good work space design can also help increase productivity. Now, more and more companies are beginning to tear down the barriers between cubicles to create a more open office environment.

It’s important to recognize that everyone works differently. Some people can work with noise, some people need it to be completely silent. Some need their desk space 100% free of clutter, while others work just as well with heaps of paper piling on their desk. Everybody works differently!

When setting up your work space for maximum productivity it is important to take into consideration those personal preferences. There are, however, some suggestions that most people find helpful.

1. Make sure the lighting in your work area is suitable. Whether you prefer natural or artificial lighting, which ever you choose should not leave you squinting when you’re trying to read.
2. Choose comfortable seating. This may sound intuitive, but if you’re a person that sits at their desk all day long, this can really make a difference.
3. Have the right tools. Making sure that you have all the supplies you may need throughout the day at your desk will prevent you from having to get up every time you need a stapler and run the risk of getting distracted.
4. Headphones! If your office space is one that is open, it’s very easy to get distracted by other conversations or noise around the office. Bring headphones with you to work and you can plug them in and listen to your own music, or just use them to drown out other noise in the office.

A Change of Scenery

Maybe you have work flexibility and can work from home. If that’s the case, you have even more freedom to create the most productive office space according to your personal preferences. If you have a dedicated office space in your home, some suggestions include:

• Remove items that are not related to work
• Increase natural lighting
• Declutter your desk
• Add plants to your office area
• Consider a standing desk
• Pick decor that suits your personal style (but is not distracting)

You can also try changing up your scenery by taking mini field trips! Now, with free WiFi in a number of cafes, restaurants and public libraries, you can take your work outside the house and into one of these spaces.

Sometimes it’s nice to have a change of scenery. Working in a cafe, some suggest, can even boost creativity! Try taking one day a week to do your work in a coffee shop. You may find that the break in your weekly routine actually helps you get more accomplished!

It can be tricky to find the time to fit in a full team building program. This high-tech team building activity can be done in a half hour to an hour. Lunch is the perfect time to do this! Here’s How to Play:

• Download the app “Heads Up!” on your smartphone.
• Divide your group into two smaller teams and arrange yourselves in a circle
• Begin the game by following the instructions on the app
• Each person will take a turn holding the phone to their forehead (with the screen facing the group)
• The app will display a word, and the members of that person’s team will have to explain to them (without saying the word itself) what the word is
• The person holding the phone will have to guess what the word is CORRECTLY, in order for the team to win a point.

This game makes for a good laugh and great stories to share. Team members will instantly feel bonded over this game and will have something to talk about with each other for weeks after. You could even consider making this a weekly activity for your team during lunchtime!
